What is the AI Assistant?

The AI Assistant is your smart business companion that can:

  • Answer questions about your business data

  • Help you understand your analytics and reports

  • Provide suggestions for improving your business

  • Generate downloadable reports (CSV, Excel files)

  • Remember previous conversations in chat history

Getting Started

  1. Open AI Assistant from the main menu or dashboard

  2. Start chatting by typing your question or tapping a suggestion

  3. Watch the AI think - you'll see:

  • 💭 Thought bubbles: The AI's reasoning process

  • Action indicators: When the AI is looking up data

  • 📊 Results: Data the AI found for you

  1. Get your answer with streaming text (appears as it's being written)

Key Features

Smart Suggestions

When you start a new chat, the AI shows suggestions based on what you can access:

  • Data access: "Show me today's sales", "Who are my top customers?"

  • Documentation access: "How do I add a new service?", "How do I manage staff?"

Conversation History

  • All chats are saved automatically

  • Access previous conversations from the history icon (📅)

  • Rename chats to organize them better

  • Delete chats you no longer need

  • Copy entire conversations to share

Downloadable Reports

When the AI analyzes your data, it may provide downloadable files:

  • Click on any download link to get a CSV or Excel file

  • Files contain the data the AI found for you

  • Perfect for sharing with your team or analyzing further

Follow-up Questions

After each response, the AI suggests related questions you might want to ask:

  • Tap any suggestion to continue the conversation

  • Helps you discover more insights

How to Use

Ask a Question

  1. Type your question in the text box

  2. Tap the send button (↑) when ready

  3. Watch as the AI processes your request

Start a New Chat

  1. Tap the "New Chat" button (+) or clear current chat

  2. Each chat is a separate conversation

  3. Great for different topics or questions

Access Chat History

  1. Tap the history icon (📅) in the top right

  2. Scroll through your past conversations

  3. Tap any conversation to continue it

  4. Swipe left on a conversation to delete it

  5. Tap the edit icon to rename a conversation

Copy a Conversation

  1. While viewing a chat, tap the copy icon (📋)

  2. The entire Q&A conversation is copied to clipboard

  3. Paste anywhere you need to share it

Permissions and Access

The AI assistant respects your permissions:

  • Staff members see only what they're allowed to access

  • Data access: View business data, reports, and analytics

  • Documentation access: Get help with using the app

  • Actions: Execute tools to look up information

Understanding AI Responses

Thought Process

The AI shows its thinking process:

  • 💭 Thought bubbles appear as the AI reasons through your question

  • You can tap to expand or collapse thoughts

Action Indicators

When the AI needs to look up data:

  • ⚡ Action indicators show what the AI is doing

  • 📊 Results display the data found

Streaming Text

Answers appear character-by-character as if being typed in real-time. This gives you immediate feedback while the AI is responding.

Tips for Better Results

  • Be specific: Instead of "How's my business?", try "What were my sales this week?"

  • Use natural language: Ask questions like you would ask a colleague

  • Reference dates clearly: "Show me bookings from last Friday" works better than "Show recent bookings"

  • Ask follow-ups: The AI remembers context within the conversation

Troubleshooting

AI says "Service is not active"

  • This means the AI feature is not enabled for your business

  • Contact support to enable AI access

Messages seem stuck

  • Try refreshing the screen

  • If the problem persists, tap the stop button and send your message again

Can't see past conversations

  • Make sure you're logged in with the same account

  • Try scrolling to the top of the history list

AI gives incorrect information

  • Provide feedback to help improve the system

  • Use the feedback option to report issues
