ChatGPT for Clinic Managers: 30 Copy-Ready Prompts for Aesthetic, Dental and Dermatology Clinics

ChatGPT and Claude can answer real clinic questions, like which chairs sat empty last week or which patients dropped out of a treatment plan, but only when they are connected to your clinic system through MCP. Without that connection they cannot see your diary, so they help with drafting and planning rather than reporting. Below are 30 clinic-specific prompts grouped by goal, with notes on what each one returns and how to keep patient data safe.
If you run a salon, our piece on AI prompts and workflows by role fits better. This one is for the clinic manager in Al Wasl, Olaya or Abdoun juggling a doctor's injectables list, a hygienist's recalls and a laser room that is either full or empty.
Do these prompts work without connecting your clinic system?
Partly. A plain ChatGPT or Claude chat has no access to your bookings, patients, staff, sales or stock. Ask it "how many no-shows did we have last month?" and it will either say it doesn't know or, worse, produce a confident guess.
Connected through MCP, the same question returns your actual numbers. WAJ's MCP connector works inside Claude and ChatGPT, in Arabic or English, and gives the AI the same access as the person's WAJ role. Owners choose read-only or read-and-change, and the AI asks before every change. If you haven't set it up yet, here is how to connect WAJ to Claude and ChatGPT.
Not connected? The prompts still work as drafting aids if you type in aggregate numbers yourself, with no patient names.
Prompt → what you get
"Show next week's empty slots by practitioner" Connected through MCP: A list of open slots from your real diary Plain chat, not connected: A template for a slot-review sheet
"Which patients didn't book their next session in a plan?" Connected through MCP: Names, last visit and the session they missed Plain chat, not connected: A suggested follow-up process
"Compare revenue by treatment this quarter vs last" Connected through MCP: Figures from your sales data Plain chat, not connected: A spreadsheet layout to fill in
"Which consumables will run out before month-end?" Connected through MCP: Items and quantities from your stock Plain chat, not connected: A reorder checklist
"Draft a WhatsApp reminder in Arabic and English" Connected through MCP: A draft you can approve in the system Plain chat, not connected: A draft you copy manually
No-shows and empty slots
"List every appointment for tomorrow that is unconfirmed, grouped by practitioner, with the treatment and booking time."
"Show me the open slots over the next 7 days for each doctor and the laser room. Highlight any gap longer than 90 minutes."
"Which patients missed or cancelled late more than once in the last 90 days? Show the dates and the treatments they booked."
"Which hours and weekdays had the highest no-show rate over the last two months? Give me a simple table."
"Draft a short, polite WhatsApp reminder in Arabic and English for patients booked tomorrow. No treatment names in the message."
Prompt 5's last line is deliberate. A reminder that says "your Botox appointment" can be read by anyone holding the phone, and in a family home in Riyadh or Sharjah that is often not the patient.
Rebooking and treatment-plan follow-ups
"Which patients started a laser hair removal course in the last six months and have no next session booked?"
"List dental patients whose last scale and polish was more than six months ago and who have no upcoming appointment."
"Show patients who bought a microneedling package and still have unused sessions. Sort by the date of their last visit."
"Which injectables patients had their last appointment three to five months ago and have nothing booked?"
"For patients who had a consultation in the last 30 days but did not book a treatment, list the consultant and the service discussed."
These are care follow-ups, not promotions. Keep the message about the plan the patient agreed to. In Saudi Arabia health data is sensitive under PDPL and cannot be used for marketing, so a "20% off because you had acne treatment" message is out of bounds.
Practitioner utilisation
"What was the booked-hours percentage for each practitioner last week, compared with their scheduled hours?"
"Which practitioner has the most unbooked time in the next two weeks, and which treatments are they qualified for?"
"Compare the average appointment value per practitioner for the last month. Flag anyone more than 20% below the clinic average."
"Show how much of the laser room and the dental chairs were used each day last week, morning versus afternoon."
A note on prompt 12: under DHA rules, injectables and medical lasers are medical acts for licensed clinicians. Don't let an AI suggestion shift those bookings to someone who isn't licensed to perform them.
Revenue by treatment
"Break down this month's revenue by treatment category: injectables, laser, skin treatments, dental hygiene, whitening and consultations."
"Which five treatments brought the most revenue this quarter, and which five had the highest growth versus last quarter?"
"How much revenue came from packages and memberships versus single visits over the last three months?"
"Compare revenue per branch for the last 30 days and show the top treatment in each."
WAJ also has a built-in sales analysis workflow, so prompt 15 can be the start of a deeper conversation rather than a one-off number.
Patient retention and lapsed patients
"How many first-time patients from last quarter came back for a second visit within 90 days?"
"List patients who visited at least three times last year but haven't been in for over four months."
"Which treatments have the best and worst return rate for a second visit?"
"Of patients who opted in to marketing, who hasn't visited in six months? Exclude anyone without marketing consent."
"Draft a warm 'we miss you' WhatsApp message in Gulf-friendly Arabic, with no mention of any treatment or condition."
Prompt 22 shows the pattern for any win-back list: filter by consent first. For the bigger strategy, read our guide on aesthetic clinic patient retention.
Front desk
"Give me today's briefing: appointments, first-time patients, unpaid balances and anything unusual."
"Which bookings today are first consultations? List the practitioner and time so reception can prepare forms."
"Draft an Arabic and English reply to a patient asking for the price range of a dental whitening consultation. Keep it factual and invite them to book."
"Write a five-line script for reception to handle a patient who wants to reschedule their third laser session at short notice."
Prompt 24 maps onto WAJ's daily briefing workflow. Run it before the doors open.
Stock of consumables
"Which consumables are below their reorder level right now, and which will likely run out in the next two weeks at the current booking pace?"
"Compare stock used last month with the treatments performed. Flag anything where usage looks high for the number of treatments."
"List products that haven't moved in 60 days, with quantity on hand."
Prompt 29 is the one that surprises owners. If numbing cream or whitening kits disappear faster than appointments explain, you want to know early.
How do I keep patient data safe when using ChatGPT or Claude?
Five habits cover most of the risk:
Never paste patient lists, notes or photos into a plain chat. In the UAE, health data is by default meant to be stored and processed inside the country under Federal Law No. 2 of 2019. In Saudi Arabia, health data is sensitive data under PDPL.
Connect through MCP with role-based access. The AI should see what the person asking can see, and no more.
Start read-only. In WAJ, owners choose read-only or read-and-change. Bulk updates, imports, staff access changes and anything patients will see wait for approval inside WAJ.
Keep money out of it. In WAJ, refunds, payouts and transfers are not available to AI apps.
Revoke access when people leave. WAJ lets you do it instantly.
This is general guidance, not legal advice. Confirm your setup with DHA, DOH, MOH, SDAIA or a lawyer, and confirm health-data hosting with your software vendor.
Getting started in one week
Connect your clinic system read-only for the owner and the clinic manager.
Run prompt 24 every morning for a week.
Pick one goal, usually empty slots or lapsed treatment plans, and work through its prompts.
Only then consider allowing changes, with approvals on.
FAQ
Can ChatGPT see my clinic's appointments?
Only if your clinic software is connected through an MCP connector. WAJ's connector works in both Claude and ChatGPT.
Are these prompts different from salon prompts?
Yes. They cover treatment plans, consultations, practitioner licensing, dental recalls and clinical consumables, which salons rarely deal with.
Can I ask in Arabic?
Yes. WAJ's connector answers questions about bookings, clients, staff, sales and stock in Arabic or English.
Can the AI send messages to patients by itself?
Not in WAJ. Anything patients will see waits for approval inside WAJ, and the AI asks before every change.
Is it safe to use these prompts in a Saudi clinic?
The reporting prompts are, through a role-based connector. For marketing, use only opted-in patients and never target by health data.
