What are Blocked Times?

Blocked times let you manage staff availability by marking times when they cannot work. This is useful for:

  • Vacations and personal time off

  • Training days

  • Special events or appointments

  • Recurring unavailable time (e.g., every Wednesday morning)

How Blocked Times Work

  • Blocked times prevent bookings during specified periods

  • Each blocked time is assigned to a specific staff member

  • You can create one-time blocks or recurring patterns

  • Blocked times are visible in the calendar for staff and customers

Types of Blocked Times

One-Off Blocked Time

A single time range that doesn't repeat:

  • Example: "March 15, 9AM - 5PM: Staff training"

  • Useful for: Sick days, one-time events, appointments

Recurring Blocked Time

A pattern that repeats:

  • Daily: Every day or every N days

  • Weekly: On specific days (e.g., Mondays, Wednesdays, Fridays)

  • Monthly: Same date each month or every N months

  • Yearly: Same date each year or every N years

How to Create a Blocked Time

For a Specific Day

  1. Navigate to the calendar or staff schedule

  2. Tap on the day you want to block

  3. Select "Blocked Time" from the options

  4. Fill in the details:

  • Title: What is this blocked time for?

  • Description: Additional details (optional)

  • Start time: When does the block start?

  • End time: When does the block end?

  1. Tap "Save"

Using Drag and Drop

  1. In the calendar view, press and hold on a time slot

  2. Drag to create a blocked time range

  3. Release to open the blocked time dialog

  4. Fill in the details and save

Recurring Pattern

When creating a blocked time, you can set it to repeat:

  1. Choose the type: Daily, Weekly, Monthly, or Yearly

  2. Set the interval (e.g., every 2 days, every 3 weeks)

  3. For weekly: Choose which days (Mon, Tue, Wed, etc.)

  4. Set an end date (optional) or leave it to repeat indefinitely

  5. Save

How to Edit a Blocked Time

  1. Tap on an existing blocked time in the calendar

  2. Tap the edit icon (✏️)

  3. Modify any of the details:

  • Change the title or description

  • Adjust the start/end times

  • Change the recurrence pattern

  • Toggle active/inactive status

  1. Save your changes

How to Delete a Blocked Time

  1. Tap on the blocked time in the calendar

  2. Tap the delete icon (🗑️)

  3. Confirm the deletion

Managing Blocked Times for All Staff

As a business owner or manager, you can:

  • View blocked times for all staff members

  • Create blocked times on behalf of staff

  • See blocked times when scheduling appointments

Tips

  • Use recurring blocked times for regular unavailable hours (e.g., staff lunch breaks)

  • Set descriptive titles so customers understand why a time isn't available

  • Remember that blocked times affect all services provided by that staff member

  • Staff members can also manage their own blocked times (if permissions allow)

Troubleshooting

Blocked time not showing in calendar

  • Make sure the blocked time is set to "active"

  • Check that the date range includes the day you're viewing

  • Try refreshing the calendar

Can't create blocked time for staff member

  • Ensure you have the proper permissions

  • Only managers and the staff member themselves can create blocked times

Recurring blocked time not appearing correctly

  • Check the interval settings

  • Verify the end date (if set)

  • Make sure the days of week are correct for weekly patterns
