How to Use Memberships

Creating a Membership Plan

  1. Navigate to Memberships

  • From the main dashboard, select "Marketing" → "Membership Plans"

  • Or use the search to find "Memberships"

  1. Create New Plan

  • Click the "New Membership" button

  • Fill in the required information:

  • Name: A descriptive name for your membership (e.g., "Gold Package", "Monthly Hair Care")

  • Description: Details about what the membership includes

  • Price: The cost in your selected currency

  • Validity: How long the membership lasts

  • 1 Month, 3 Months, 6 Months, 9 Months, or 1 Year

  • Free Services: Add services included in the membership

  1. Configure Free Services

  • Toggle the "Free Services" switch to enable

  • Click "Add Another Free Service" for multiple service types

  • For each service:

  • Select Services: Choose which services are included

  • Sessions: Set the number of sessions available

  • Enter a number for limited sessions

  • Select "Unlimited" for unlimited access

  • Frequency: How often sessions refresh

  • Total: All sessions available for entire validity

  • Per Month: Sessions refresh each month

  • Per Week: Sessions refresh each week

  • Per Quarter: Sessions refresh every 3 months

  • Session Earnings: Track the value of each session for reports

  1. Add Terms and Conditions

  • Enter any rules or policies for the membership

  • This will be visible to customers

  1. Save the Plan

  • Click "Save" to create the membership

  • The plan will appear in your membership list

Selling a Membership to a Customer

  1. Start from Sell Screen

  • Navigate to "Sell" → Select "Membership"

  • Or go to a customer profile and select "Sell Membership"

  1. Select Membership Plan

  • Choose from your active membership plans

  • Review the plan details and benefits

  1. Confirm Sale Details

  • Select the customer (if not already selected)

  • Set the Start Date (defaults to today)

  • The Expiry Date will auto-calculate based on validity

  • Select who sold the membership

  1. Complete Payment

  • Proceed to payment processing

  • Select payment method

  • Confirm VAT settings if applicable

  1. Confirmation

  • Membership is created and active

  • Coupons are automatically generated based on benefits

  • Customer can now use their membership

Viewing Membership Details

  1. View Plan Details

  • Click on any membership card from the main list

  • See:

  • Price and validity

  • Included benefits

  • Terms and conditions

  • Creation date

  1. View Customers with this Plan

  • Scroll to "Members" section

  • See all customers who purchased this plan

  • View their membership status and usage

  • Search by customer name

  1. View Activity Logs

  • Scroll to "Activity Log" section

  • See all transactions and usage:

  • When memberships were sold

  • When sessions were used

  • Status changes (pause, cancel, extend)

Managing Customer Memberships

  1. View Individual Customer Membership

  • Click on a customer from the "Members" list

  • See their membership details:

  • Plan name and status

  • Purchase and expiry dates

  • Number of sessions used

  1. Extend Membership

  • Click "Extend Membership" button

  • Select extension duration (1 month, 3 months, etc.)

  • See new expiry date calculated

  • Confirm to extend

  • New coupons generated for extension period

  1. Pause Membership

  • Click "Pause Membership"

  • Confirm the action

  • Membership status changes to "Paused"

  • Customers cannot use paused memberships

  1. Resume Membership

  • Click "Resume Membership"

  • Confirm the action

  • Membership returns to "Active" status

  • Customers can use the membership again

  1. Cancel Membership

  • Click "Cancel Membership"

  • Read the warning message

  • Confirm cancellation

  • Membership becomes "Cancelled"

  • Cannot be reactivated - customer must renew

  1. Renew Expired Membership

  • For expired memberships, click "Renew Plan"

  • Proceed through sell flow

  • Creates new membership instance

Managing Membership Plans

  1. Pause a Plan

  • Click "Options" on the membership card

  • Select "Pause"

  • The plan cannot be sold to new customers

  • Existing customers keep their memberships

  1. Resume a Plan

  • Click "Options" on the membership card

  • Select "Resume"

  • Plan becomes available for new sales

  1. Delete a Plan

  • Click "Options" on the membership card

  • Select "Delete"

  • Important: Can only delete if no active customers

  • Deletion is permanent (soft delete)
